IISD’s Resilience Team serves as the Secretariat of the National Adaptation Plan (NAP) Global Network, a group of individuals and institutions that is working to enhance climate change adaptation planning and action in developing countries. Through a combination of peer learning, in-country technical assistance, and enhanced bilateral donor support, the Network is engaged with representatives from over 130 countries in advancing their NAP processes.

The Project Manager will work as a member of the NAP Global Network Secretariat. The successful candidate may provide support to other related Resilience projects, as time permits. The Project Manager reports to the Director, Resilience or their designate.

Job Purpose

The Project Manager will work as part of a Program, with supervision, to contribute to the delivery of projects, development of new projects, and research/outreach content.

Scope:

  • Oversee the operational planning, monitoring and implementation of projects and initiatives
  • Develop and contribute to project and proposal documentation
  • Support donor relations and contribute in fundraising efforts
  • Provide analytical research and policy support
  • Contribute to communication products

Responsibilities:

Operations and Project Management

  • Responsibility for the operational management and implementation initiatives and projects, including workplan and budget development/adjustment, communication with stakeholders, contracting, evaluation and reporting.
  • Setup, track and refine project finances with the support of the project management and accounting teams.
  • Oversee, allocate and approve project expenses to the appropriate budget in accordance with IISD’s policies.
  • Plan and monitor timelines, milestones, delivery deadlines, resources and outputs using project management tools and collaborate with team members to recommend optimizations.
  • Coordinate event planning, logistics and team travel arrangements.
  • Track outputs and ensure their inclusion in knowledge management systems and reporting.
  • Feed accurate data on the project(s) into IISD-wide annual budget planning processes
  • Assist with the continued development and streamlining of IISD policies and procedures.

Donor relations and Fundraising activities

  • Contribute to the preparation of narrative and financial reports to funders.
  • Assist with the development of funding proposals, including but not limited to coordinating the proposal development process, drafting text for inclusion on the proposal’s objectives and methodology section, and preparing descriptions of past projects and planned team members.
  • Support other IISD personnel with the management of external relations, identification of new opportunities, and the development of proposals.
  • Review potential donor agreements for their compliance with IISD financial policies and procedures;

Research

  • Undertake research and prepare written and verbal reports that accurately synthesize and assess findings, as part of projects led by other IISD personnel.
  • Support project development through the review and identification of trends and international events relevant to the program work.

Communications and Outreach

  • Establish and actively maintain a network of partners and contacts, including individuals from governments, civil society organizations, the private sector and academia.
  • Organize and document meetings of various sizes, including identifying and inviting participants, developing agendas, and producing meeting reports.
  • Participate in the planning and organization of conferences, briefings, seminars, workshops, programs and other initiatives hosted or facilitated by the program.
  • In collaboration with the Communications team, develop and implement communication strategies and plans to ensure research, analysis and knowledge products have reach, engagement and impact.

Other

  • Contribute to the improvement of operational processes and document lessons learnt for institutional learning purposes.
  • Other tasks and responsibilities, as assigned. 

Qualifications

  • At least 3 years of experience working as a project administrator or manager, experience in an international context would be considered an asset.
  • Bachelor’s or higher degree, preferably with a focus in sustainable development, international affairs or accounting.
  • Fluency in English is a requirement. Fluency in French or Spanish is highly desirable.
  • Project management certification would be considered an asset.
  • Experience working in fast paced, multi-project environments.
  • Good communications skills and the ability to work in an interactive way with stakeholders from different contexts, countries and backgrounds.
  • High level of proficiency with Microsoft Excel and other project management tools.

Location: Ottawa

Starting Salary: $55,700 - $60,000   CAD

Start date: September 30, 2019 - September 30, 2020
